Obsidian has introduced Bases, a feature that transforms static notes into dynamic project boards. Unlike traditional project management tools that require users to manually input data, Bases constructs databases directly from the files already present in a user's vault. This integration means that the project tracker is not a separate entity but a live view of the actual work, allowing for immediate access to content without switching applications.

The core utility of Bases lies in its ability to treat notes as data objects. Users can define properties such as status, word count, or publication date in the front matter of their notes. These attributes allow the system to automatically sort items into Kanban columns or table rows. When a user drags a note from a 'Draft' column to an 'In Progress' column, the software updates the underlying file metadata instantly, ensuring that the state of the project remains synchronized with the content itself.

This mechanism removes the cognitive load of remembering to update a separate task list after finishing a writing session. The note remains the single source of truth, while the board acts as a flexible interface for viewing that truth. However, this tight coupling means that any error in metadata or property definition can lead to items disappearing from certain views, as the system relies entirely on structured data to render the board.

For writers and developers, the primary benefit is the elimination of context switching. Previously, a typical workflow involved opening a task app to identify priorities, switching to a note-taking app to execute the work, and then returning to the task app to mark it complete. With Bases, the user can open a Kanban board, click on a task to review the details, and immediately begin editing the note without leaving the application. This centralization reduces the overhead associated with managing multiple digital workspaces.

The feature also supports embedding these boards directly into other notes or a homepage, providing an immediate overview of ongoing projects upon launch. This allows for a personalized dashboard that reflects current priorities. Nevertheless, the integration is not without friction; some community plugins designed to enhance the homepage experience have shown compatibility issues with specific board types, indicating that the ecosystem is still stabilizing around this new core feature.

Trade-offs in data structure flexibility

While Bases offers powerful filtering and multi-view capabilities, it requires a disciplined approach to data entry. The system depends on consistent front matter properties to function correctly. If a user fails to define a specific property, such as a publication date, that data point will not appear in table or calendar views. This places the burden of data hygiene on the user, who must ensure that every note is properly tagged and structured to be useful within the database.

Furthermore, Bases is not a complete replacement for dedicated project management software in complex team environments. It excels at individual workflow management where the user controls the data structure. For teams requiring granular permission controls, real-time collaborative editing, or advanced dependency tracking, the limitations of a local-first note-based system become apparent. The catch is that the power of Bases comes from its simplicity and direct file access, but that same simplicity limits its scalability for large, distributed organizations.
